A practical method
An approval map
An approval map with trigger boundaries, data questions, side effects, failure handling and stop ownership. Work through the prompts in your own notes. No information is submitted or saved here.
Trigger and scope
Name the exact initiating event, exclusions, rate limits and who owns the source. Include a stop switch that does not depend on the automated step.
Input and data boundary
List each field, sensitivity, source, recipient and retention question. Use a fictional fixture for early tests rather than customer records.
Draft versus action
Mark which steps only suggest and which could send, update, spend or publish. Require a named reviewer and explicit decision before any side effect.
Failure and retry
Test wrong category, duplicate event, timeout, unavailable integration and reviewer absence. Define idempotency, escalation and safe manual fallback.
Audit and withdrawal
Describe versioned prompts or rules, logs, rollback, deletion and who can disable the workflow. Review tool terms and permissions before implementation.
Record the outcome
- What is the proposed next step, and who owns it?
- What evidence supports it, and what remains unknown?
- What would make you pause or change direction?
- When will the decision be reviewed?
Keep private details in your own records. This is a reading guide, not a submission form.
